Privacy notice

Who we are

Lumintel LLC is a South Dakota company offering AI training, consulting, automation and software services to US customers. This notice describes information handled through www.lumintel.ai and related service conversations.

Contact and snapshot requests

Contact forms collect your name, email, optional phone number and message. The homepage AI snapshot request collects your name, email and the business, industry or task details you choose to provide. These requests go to Malcolm through Google Workspace email so he can respond and discuss your needs.

For a personalized snapshot, the business, industry and task details you submit go to OpenRouter and the hosting provider running the selected open-weight model to generate suggestions, with web search disabled. Your name and email are excluded from the model prompt. The result can contain errors and needs your review. Homepage preview examples remain samples. Request details go only to Malcolm's inbox, without a CRM or report database. A snapshot request does not enroll you in a newsletter. The report is temporarily cached in your browser tab for up to 30 minutes with business and task context, excluding name and email. You can clear it or close the tab. A downloadable PDF is created on your device; the report is not emailed to additional recipients. Please avoid sending passwords, financial account details or confidential client information through these forms.

Software inquiries and the client portal

A software inquiry may include your business details, project brief, intended users and requested connections. The website saves a draft in your browser so you can return to it. Our cookies and storage notice explains how to remove it.

Clerk handles client portal sign-in. Lumintel uses account and client membership information to decide which resources you can access. Client materials may also link to services such as Google Drive, which have their own access and privacy settings.

Bookings and payments

If you book online, we collect your name, email, chosen time, task description and any requested guest details. We store reservation information, your accepted booking policy and terms, your recording choice, and payment and calendar identifiers. A free conversation requires email confirmation before a calendar invitation is created.

Stripe handles card entry through its hosted checkout. Lumintel receives payment status, transaction identifiers and payment totals rather than your full card details. Google Calendar and Meet provide invitations and meetings. If online booking is unavailable, email Malcolm to arrange a time.

Recording, transcription and AI notes

Recording, transcription, and AI notes are optional. Refusing them does not prevent attendance. Each participant makes their own choice.

With participant agreement, Google Meet may capture voices, presented screens and meeting content to create a recording, transcript or Gemini notes. Google stores meeting recordings in the organizer's Drive. Tell Malcolm before the call if you want these functions disabled, or ask him to stop them during the meeting.

An optional booking checkbox records the purchaser's choice. It does not establish a guest's agreement. Malcolm checks each participant's choice before capture begins, including anyone who joins later. If a participant declines, recording, transcription and AI notes must remain off. Ask Malcolm about access and sharing before presenting sensitive work.

Hosting, security and service providers

Vercel hosts the website and processes technical request information needed to deliver pages and investigate errors or abuse. Vercel Web Analytics is configured for cookie-free aggregate public page views and fixed events for starting checkout, confirming a booking and submitting a snapshot request. Its actual collection depends on the deployed service. The website excludes private portal and internal routes from analytics and strips URL queries and fragments; it does not attach form contents, booking tokens or customer details to these events. Booking and inquiry protections use limited attempt records derived from email addresses and network addresses. These records help prevent repeated or unwanted requests.

Google Workspace, OpenRouter and its model hosting providers, Clerk, Vercel, Stripe and the configured booking database support the functions described above. A provider receives information needed for its role. We may also disclose information to address misuse, a dispute or a legal obligation. External services linked from this website have their own privacy notices.

Retention and removal requests

Our retention plan sets a 12-month target for inactive inquiries and reviewed session notes, and a 90-day target for raw meeting recordings and transcripts. Inactivity is measured from the last substantive contact. The notes target is measured from the session date for a standalone session or the end of an ongoing engagement. The recording and transcript target is measured from the meeting date.

Malcolm handles removal from email and meeting files manually. Cleanup is being put in place, so these targets are not a guarantee that every existing copy has already been removed. Contact him to request deletion or confirm whether a particular record remains.

Payment, agreement and active client records are considered separately when needed to deliver a service, resolve a dispute or meet a legal obligation. We do not apply one blanket retention period to every record. Provider backups and copies downloaded by other participants may follow different removal processes.

Questions and requests

Email mmacdonald@lumintel.ai to request access, correction or deletion, or to ask about your meeting records. We may ask for information needed to verify your identity and locate the records. Tell us which interaction or meeting your request concerns. Available rights and any required exceptions depend on applicable law.

Changes to this notice

We date changes on this page and explain material changes here. This revision adds specific form, booking and meeting disclosures, optional recording, browser-storage information and the retention plan.
